What it does

Four things, all of them running today against real invoices in Actionstep.

Invoices arrive on their own

Open invoices are pulled from Actionstep every hour with their matters, debtors and matter types. Anything voided upstream reconciles itself. Run it by hand whenever you want to.

Workflows you author yourself

A due date, a day offset, then an ordered list of steps: send a Communication or apply a Penalty. Deliberately linear, so what will happen on any given day is never in question.

Email from your own address

Consent Microsoft 365 once and every Communication leaves your own mailbox, on your own domain. Eight merge fields cover the invoice, the matter, the fee earner and the Payment Link.

A Payment Link in every email

The debtor opens a hosted page and pays by card through Pinch — no login. When the money lands, the responsible fee earner is emailed and a task is raised in Actionstep.

Connect, author, automate

Sign in with Actionstep — there is no password and no sign-up form. Your firm exists from the first sign-in, and setup reads as complete on its own once these three are done.

Step 1 — Connect
Actionstep, Microsoft 365, Pinch

An administrator connects Actionstep, which brings in your name and operating time zone. Then consent Microsoft 365, verify the sending address, and apply for a Merchant so card payments can be taken.

Step 2 — Author
One template, one Workflow

Write the email your practice would have sent anyway, in your own words, with merge fields for the invoice and the Payment Link. Then set the day offsets that decide when it goes.

Step 3 — Automate
Once a day, at an hour you pick

One run per operating day in your own time zone: invoices are enrolled, due steps are executed and interest accrues. The Automation Stage unlocks only when setup is genuinely complete.

Automation you climb into

A new firm cannot be automated by accident. Every outbound action queues for a human until you decide otherwise, and every state change is recorded.

01
Approval
Nothing reaches a debtor without a person approving it.
02
Communications automatic
Emails send on schedule; every Penalty still waits for approval.
03
Fully automatic
The Workflow runs end to end. You can step back down at any time.
Approval Queue

Everything pending, with its invoice, debtor and age. Approve to execute, or decline to skip the step or stop the Enrolment.

Audit Log

Every state change in plain language, filterable — who did what to which invoice, and when.

Workflow Exclusions

Name the matter types, matters or debtors a Workflow will never touch. Sensitive files stay out of it.

Payments ledger

Written only from verified Pinch notifications, never by hand, with refunds, disputes and chargebacks surfaced for attention.
